This privacy policy explains how we use any personal information we collect and hold.

Who we are

Birchills Telecom Ltd, a UK-based limited company and a wholly owned subsidiary of Simwood Group plc.

What information we hold

  • Prospects and quotations — held on the basis of our legitimate interests.
  • Registration and order data — names and addresses of customers, held for accounting purposes on secure servers, kept completely separate from our webservers, on the basis of contract performance.
  • Survey and feedback data — only if you voluntarily provide it, on the basis of consent.
  • Phone system and call data — how your system is configured, the calls you make, their duration, time and cost, held on the basis of contract performance. If you choose to enable it, we also hold recordings of your calls. The Birchills Telecom PBX portal runs on a separate secure server network and holds no payment data.
  • Employee data — held for payroll purposes, by consent.

Our website itself holds no customer data.

How we use it, and who we share it with

We use your information to process your order and manage your account. We do not share your information with other companies for their marketing purposes.

In processing your order, we may share your details with, and use information from, credit reference agencies and fraud prevention agencies. We also send bank information required for Direct Debits to a third party, and share your information with third-party couriers and suppliers to deliver phones and fulfil our contracts.

In processing your calls, your voice data is transferred via third parties to the person you're calling. If you've requested it, we hold your call recordings; this is processed by third-party UK companies.

Cross-border transfers

If you make calls to numbers outside the UK, your call data will be transferred cross-border as part of connecting the call. Aside from this, we store all data on servers within the EU and don't transfer it cross-border.

How long we keep data

We store data indefinitely unless you ask us to do otherwise.

Access to your information

You have the right to request a copy of the information we hold about you. Email or write to us at the address above.
